These terms apply if you run camps, clinics, holidays, tours, tournaments, americanos, leagues, corporate days, hospitality or taster sessions and list them on Rally & Roam as an operator. They sit alongside our terms of use, our partner terms, our community guidelines and our safeguarding policy. Players booking an event are covered by our booking terms.

Becoming an operator

Any member can sign up as an operator: a camp, holiday or tour operator, a coach or a club. You give your business name, a description, a contact email and, if you like, a website, phone number and logo.
We check every operator account before its events can go live. Until then you can prepare events as drafts.
You confirm that you have the authority to act for the business and that the details you give us are true.

Listing an event

Each event has a type, dates, a price, the number of places, a playing level, and who it is for: adults, juniors, families or all ages, with an optional age range. A cover photo is needed before you can publish.
You can publish and unpublish your own events once your operator account is approved.
Your listing must be accurate and complete: what is included and what is not, the venue, the coaching hours and ratio, the level, any travel or accommodation, and anything a player must bring or arrange themselves. Keep it up to date, and tell booked players about any important change.
Use only photos and text you have the right to use. You give us a licence to show, translate and promote your events on Rally & Roam.

Bookings and payment

Players book and pay through Rally & Roam, for up to 4 places at a time, and can split the cost with the people they bring. Tournament entries need a partner's name.
The contract for the event is between you and the player. You are the seller, and Rally & Roam acts as your booking agent.
We take payment through Stripe. To receive your money you need a Stripe Express account, set up from your operator workspace.
We keep a commission of 10% of the event price, unless we agree something else with you in writing. Payouts are free on the standard schedule, which releases money 7 days after it is paid. If your Stripe account cannot receive payouts yet, we hold the money and record it as owed to you.
Corporate events are booked by enquiry rather than online, and players earn Rally Points when they book an event.

Cancellations and changes

You set the cancellation terms for each event in your operator workspace: a full refund until a number of hours before the event starts, then a part refund, or no refunds. The terms are shown to players before they pay and copied onto each booking, so later changes do not affect places already booked.
If you have not set terms for an event, the default applies: a full refund if the player cancels 7 days or more before the event starts, and 50% after that.
Players cancel their places from their bookings page until the event starts, and get back what your terms say. Their places go back on sale straight away.
If you cancel an event, or change it so much that it is not what the player booked, the player is entitled to a full refund.
Refunds are taken from what we owe you, or from your later payouts.

Your duties to players

Run the event as described, with reasonable care and skill, and with enough qualified coaches and staff.
Hold the insurance your events need, including public liability insurance, and any licences, permits or venue agreements required where you run them.
Keep players safe: carry out risk assessments, have first aid available and know what to do in an emergency.
If your event is for juniors or families, follow our safeguarding policy. Everyone who coaches or supervises under-18s must have a current safeguarding check, such as an enhanced DBS check or the equivalent where you work.
If your event combines travel with accommodation or other services, you are responsible for complying with the Package Travel and Linked Travel Arrangements Regulations 2018 and any financial protection they require, such as ATOL where flights are included.
Use players' details only to run the event. You are a separate controller for that information under the UK General Data Protection Regulation.

Corporate days and group trips

Companies can ask for a corporate padel day. Clubs and coaches send quotes, and the company accepts the one it wants; the club or coach who is accepted provides the day. Our group trip planner sends a group's enquiry, with an estimate, to an operator, who confirms the real price with the group before anything is booked.

Suspension and ending

You can unpublish your events at any time, but bookings already made must still be honoured or refunded in full. We may unpublish events or suspend an operator account that breaks these terms, puts players at risk or receives serious complaints. Where we can, we will tell you why and give you a chance to respond first.
